Creating a Template

Upload a document and turn it into a reusable template.

Create the template

  1. Go to Templates in the sidebar and click New template.
  2. Give it a name and, optionally, put it in a folder to keep things organized.
  3. Upload the source document (PDF or Word). This becomes the base document every future envelope from this template will use.

A new template starts in Draft status — drafts can be freely edited but can't be used to send envelopes yet.

Open the Designer

Click into the template and open the Designer. This is where you:

  • Place fields (signature, initials, text, date, checkbox, etc.) by dragging them onto the page.
  • Assign each field to a role so SignFlow knows who is responsible for filling it in (see "Assigning Roles to a Template").
  • Set field properties such as whether it's required, its default value, and validation.

Publish it

Once the layout looks right, publish the template (flip it from Draft to Active). Only active templates show up when creating a new envelope. Editing an already-active template later creates a new version rather than changing envelopes already sent from it.
